The brief

What needed to change.

Event and function ordering needed to be more than a public menu and checkout. The workflow had to support customer accounts, quoted work, internal review, event timing, kitchen preparation, payments, invoices, exports, site rules, and synced catalogue data.

The platform was built as operational infrastructure: simple enough for customers, controlled enough for internal teams, and configurable enough for site-based hospitality use.

The challenge was connecting a customer-facing catering journey to the internal workflows that make events, kitchen preparation, finance, and site configuration work.

Customer ordering had to connect to operations

Public browsing, checkout, quote requests, account history, and approvals needed to stay tied to the internal event workflow.

Quoted work needed structure

Function ordering required quote events, quote items, customer approval, expiry handling, status changes, and internal review.

Kitchen and finance needed the same source

Event preparation, kitchen tallies, invoice actions, payment states, adjustments, exports, and reports needed to work from connected records.

Site configuration could not be hardcoded

Branding, departments, locations, service types, operating hours, payment rules, catalogue sync, and internal access all needed admin control.

Webits built a Django backend and React frontend with public ordering, customer accounts, quotation approval, order review, event operations, kitchen tallies, finance visibility, invoices, exports, role-based access, site settings, and Gather catalogue sync.

Customers can browse the event catalogue, place orders, review account history, manage payment context, and return to previous activity.

Quotation approval workflow

Internal users can prepare structured quotes, send them for review, and move accepted quoted work into the wider order workflow.

Operations and kitchen teams can review event details, timing, locations, items, tallies, and service preparation from connected screens.

Finance, invoices, and reporting

Finance users can review payment state, invoices, adjustments, order values, exports, and reports without reconstructing event context.

Configuration

Site settings and access control

Admins can manage branding, departments, locations, service rules, operating controls, internal roles, invitations, and permissions.

Gather catalogue sync

The platform manages Gather connection state, sync runs, media sync, webhook events, and source metadata for catalogue governance.

Event Link gave Cater Care a more controlled operating system for event and function ordering, from customer request through to kitchen preparation and finance review.

Event ordering became owned software

Cater Care gained a web platform shaped around its own event and function workflow instead of a generic third-party tool.

Public orders, customer accounts, quotes, approvals, event records, kitchen preparation, and finance data now share one system.

Quotes became easier to control

Quoted work can be built, sent, reviewed, accepted, and moved forward without losing the underlying event and item context.
